Minutes of the 3rd EC  Meeting

Projects planned for the month were discussed
·        Bird Old Age Home
o    It was decided to donate 6 tables costing Rs 2,800 each approximately and 25 chairs around Rs 400 each.
o   Total budget allotted for this was Rs 30,000.
o   The tables and chairs are to be given to them next week
o   Anjana said she would arrange for the transportation of the chairs and tables to the Home
o   It has been decided to make Royapettah boys School into a Happy School
o   For this toilets and class rooms have to be repaired and sports equipment provided
o   Approximate budget will have to be finalized
o   A resolution will have to be passed in the next GB meeting to allow the transfer of some funds from the Fixed Deposit to the Charity account to fund this project.
o    A transfer of about Rs 1.8 lakhs from the Fixed Deposit of Rs 9.8 lakhs is being planned
·        Panchayat Union Lower School in Pattur
o   3 ceiling fans costing about Rs 10,000 to be provided for the school
o   President Shila will arrange to buy and deliver it before the GB meeting
·         Prema Vasan
o   Sattu mavu to be provided for  3-4 months at a cost of Rs 1500 per month

·         16 Laptops to be distributed when it comes 
o    10 for Pattur High School
o   And 6 for Royapettah High school
o   Anjana is  following this up with Rotary Club

·        Vellore Leprosy Hospital
o   Foot wear to be donated to the patients
o   100  towels also  to be distributed to them
o   These towels would be purchased at a cost of Rs 45-50 per towel. PDC Sita will take care of this
o   Sandhya will donate 100 apples for the 50 inpatients
o   A trip to the Leprosy Hospital in Vellore has been planned for 12th November.
o   Members interested in joining the project will need to give their names in advance so that transport arrangements can be made

·        Childrens Garden School
o   An appeal has come from the school for help in constructing library, wash stations, toilets, compound wall, football court and basket ball field
o   Inner Wheel Club South has agreed to help them

Other issues discussed were :
·        Funds available
o   Treasurer Vasanthi confirmed that Rs 1,80,000 is available in the charity account

·        Chairman’s visit
o   This is being planned at Gandhi Nagar Club at 3pm on November 28th
o   Prior to this, an EC meeting will be held at Shila’s house  to plan for the visit. The  date for Chairman’s EC meeting  is confirmed for  15th November 2018.
o   The Chairman will be introduced through a Harikatha kind of song sung by Girija, instead of the usual introduction
o   One informal meeting will take place to practice and finalise this before the Chairmans EC  meeting
o   The Chairman wants the President to provide a report of the projects done so far.
o   So the Leprosy Home and the Royapettah Boys Happy School Project will have to be completed before November 28th
·        The names of the Executive Committee members for next year were tentatively discussed
o    These will be finalized post a resolution passed in the next GB meeting
·        District Conference on 6th Dec 2018
o    Chairman Kala Rajsekhar wants 100% attendance
o   A fee of Rs 1500 will have to be collected from attendees during the next GB meeting
·        The names of the District EC Committee selected were announced
o   President  - Nalini Olivannan -

o   Association Council ( AC)  member – Kala Rajasekhar
o   Secretary -  Arasi Ponmozhi
o   Treasurer – Arathi Narayanan

·        The meeting adjourned at 12.30 pm followed by lunch.
